In this post, I’m sharing the must-have tech tools I used when launching my business. These tools helped me streamline scheduling, automate tasks, and build a professional online presence so I could focus on what really matters—helping my clients.
1. Your Core Tech Setup: The Essentials
Before diving into software, let’s start with the physical tools you need to run a smooth, professional online business.
✔ A Reliable Computer – I started with a 27-inch Mac desktop, which made multitasking and website building much easier. If you’re working on a tiny laptop screen, you may want to upgrade for a better workflow.
✔ A Quality Camera – Your built-in webcam might work, but I found that using a Logitech C922 gave me better clarity and mobility, which is important for client demonstrations.
✔ A Professional Microphone – The Blue Yeti microphone has been a game-changer for me, providing clearer, more professional audio for virtual sessions and recorded content.
✔ Good Lighting – Lighting matters! I use Elgato Key Lights, but I also love my Lume Cube for better visibility during sessions.
✔ A Second Monitor (Optional but Highly Recommended!) – Eventually, I upgraded to dual screens, which made it much easier to take notes, manage client files, and conduct virtual sessions seamlessly.
2. Scheduling Software: Save Time & Set Boundaries
One of the first investments I recommend is scheduling software. Tools like Acuity or Calendly allow clients to book their own sessions, pay online, and receive automated reminders—without all the back-and-forth emails.
I started with Acuity, then transitioned to 17 Hats because it offered additional business management features. Whichever tool you choose, having an automated scheduling system helps:
✔ Eliminate the hassle of manual booking
✔ Ensure clients pay upfront (no more chasing payments!)
✔ Set clear boundaries with availability and cancellations

3. Client Management System: Organize & Protect Client Data
A Client Management System (CMS) helps you keep track of client records, progress notes, and appointment history in one place.
Many myofunctional therapists use SimplePractice, which is HIPAA-compliant and designed for healthcare professionals.
If you’re just starting out and want a budget-friendly option, a paid Google Workspace™ account can be configured to meet HIPAA requirements. Just be mindful that some free or low-cost CMS platforms may increase their prices later, making it expensive to switch systems down the road.
4. Website: Your Business HQ
Your website is more than just a digital business card—it’s a powerful tool for educating clients, automating tasks, and attracting leads.
I built mine on WordPress, but platforms like Wix or Squarespace are also beginner-friendly options. The most important thing? Make sure your website serves YOU.
✔ Embed your scheduler so clients can book directly
✔ Host downloadable forms to save time on admin work
✔ Use it as an educational tool to position yourself as an expert

5. Communication Tools for Virtual Sessions
Since most myofunctional therapy businesses operate online, you need a secure, reliable way to meet with clients virtually.
✔ Zoom or Skype for Business – These platforms work well, but remember, the free versions are not HIPAA-compliant.
✔ Google Meet (Paid Version) – If you already use Google Workspace™, upgrading to a HIPAA-compliant plan can be an easy, all-in-one solution.
By investing in the right tech tools, you’ll create a seamless experience for both you and your clients—helping you run a stress-free, professional online business.
